PM Career | Dealing with Uncertainty

4/28/2019

One of the primary responsibilities of a project manager is to produce a predictive result in an uncertain environment. There are many uncontrollable situations, such as resource turnover, market condition changes, technology issues, and user behavior changes. The project manager can prevent these factors from impacting the project by:
  • Building the right team - find A players with credibility, support, and commitment to the project (stakeholder charter, team expert profile).
  • Communicating - communicate with the team and customers to align the objectives (meetings, interviews, email communications).
  • Following the proper process - perform risk mitigations from the beginning (risk register), closely track the progress (report for task tracking), and monitor the situation to mitigate the risks (risk analysis in status meetings).
  • Using the Lean approach - perform experiments to fail fast and learn from experiences (scrum/sprint processes).
To implement the stagey, we will incorporate it into the project plan with proper tracking and follow-ups.

PM Career | Standardize to Reduce Conflict

4/21/2019

People still have conflict when each is hardworking and like to achieve a good result. PMO can set up a standardized process to avoid conflict.

Define responsibilities. There should be no responsibility ambiguity. Some time categorization is needed. Using the RACI matrix can be helpful.

Document requirements well so the dev team and function team can collaborate well.

Standardized processes can help the team know what to do next and thus drive high-quality results where everyone will be happy with the result, hence less conflict.

Relationships can cushion conflict, but the process is more important to prevent competition from happening.

PM Career | Giving Help

4/7/2019

A team can't succeed without extensive cooperation. Giving help means supporting others to success without considering personal gains or losses. The assistance emphasizes getting things done in an optimized way. Several things got to think about to find helpers for your team.

Willing to help. Helpers proactively offers ideas, advice, and expertise to solve the problem with a mindset of "us" instead of "me."

Within your means. Helpers support whenever they can. If they can't, they should explain the reasons and ask the team to find the best person to accomplish the job. Overconfidence can cause more problems.

When to help means prioritize the ask according to the current situation, blindly drop the present task and help others means lack proper judgment.
Interview Questions
  • Tell me a time when you were asked to help, but you have to turn it down. What happened?
  • Tell me an example of when you have to ask for help. How do you ask for help, and what's the result?
  • What would you do if someone came asking for help while you were in the middle of your work?
  • Who kind of help did people ask for your assistance in the past?
